The Importance of Assigning Tasks and Resources in Project Management

There are two major ways to estimate the lengths (i.e., durations) of tasks. The simplest way is to estimate the elapsed time of a task.

If someone says it will take him a week to do a particular task, he is probably offering an elapsed-time estimate. They generally mean that it will take him one work week to get a task done, not that it will take them 40 hours. When estimating elapsed time, people generally account for not working on the project tasks full-time, and for working on other, higher-priority tasks first.

\"project Management\"

In most projects, however, lengths should be estimated based on the amount of work, not the amount of time. That way, adding resources will shorten a task, and using resources only part-time will lengthen a task. Tasks that fluctuate like this depending on the resources assigned are called resource-constrained tasks.

There are several ways to estimate the resource time for a task. One is to let the project manager calculate the estimates based on an employee's performance on similar tasks. Another is to let the employees performing the tasks calculate their estimates, generally based on how they performed on similar tasks. A third way to estimate is to use standard metrics for generic tasks.

Although many project managers like to follow the standards established by these generic metrics, their plans are generally more accurate when they and their employees do their own estimating. It usually takes three to five projects to become proficient, but the eventual accuracy is worth the delay. Sometimes tasks will not be resource-constrained and can be estimated based on the elapsed times. Examples would be training classes or project meetings. Even though two or more people may attend a class or meeting, the length of the task does not shorten. These types of tasks are called time-constrained.

If estimates are being provided from standard metrics or project managers, them resources (i.e., employees) should be assigned after task lengths are determined. If estimates are coming from the employees performing the tasks, obviously these steps will be reversed. Regardless of the order of these two steps, one or more employees should be picked for each task that is resource-constrained.

Employees assigned to multiple tasks are often scheduled for too much work while there are simultaneous tasks to complete and not enough work when there are no task assignments. To maintain a consistent workload, resources need to be "leveled." There are only two main ways to level resource allocations: by adjusting the task schedule or adjusting the resource assignments. Project management packages generally adjust the schedule to increase the amount of time it takes to finish the project.

Remember these basic principles for assigning task lengths and resources to improve your management proficiency.

The Importance of Cost Accounting

Managers rely on cost accounting to provide an idea of the actual expenses of processes, departments, operations or product which is the foundation of their budget, allowing them to analyze fluctuation and the way funds are used socially for profit. It is used in management accounting, where managers justify the ability to cut expenses for a company in order to increase that company´s profit. As a tool for internal use, versus a tool for external users like financial accounting, cost accounting does not need to follow the GAAP standards (Generally Accepted Accounting Principles) because its use is more pragmatic.

It creates a financial value out of the production of a product, measuring currency that is nominal into units that are measured by convention. By taking recorded historic costs a bit further,it allocates a company´s fixed costs over a specific time period to what items are actually produced during that period of time, creating a total cost of product production. Products that were not sold during that period of time produced a "full cost" of those products, recording them in a complex inventory system that uses accounting methods of its own that are in compliance with the GAAP standards. Managers are then able to focus on each period's results as it relates to the "standard cost" of any product.

\"what Is Management\"

Any distortions in expenses that were caused by calculating what the overhead of a product is versus what a unit cost is for companies that specialize in only one specific product are very minor in industries that mass produce that product with a low fixed one. Understanding why it varies compared to what was actually planned helps a manager to save a company money by taking actions that are appropriate to correct that variation in the future. Variance analysis is a very important part of cost accounting because it breaks down each variances into many different components of standard and actual one. Some of these components are material expenses variation, volume variation and labor expenses variation.

It is a very important part of the management accounting process. In order for managers to determine the best methods to increase a company's profitability, as well as saving a company money in the future, cost accounting is a necessary system in the management of a company's budget, providing important data to analyze fluctuation in company production expense.

The Importance of Cost Accounting

Executive level pay is based upon company performance. If the performance of a company is not reported in a proper manner, executives make money that far exceeds what the business is capable of and creates a false picture of a company's performance. This false reporting causes the stock market to balloon by rewarding stock to companies who do not deserve it, and these methods have a bad effect on our economy. Business accounting that honor the GAAP (Generally Accepted Accounting Practices) creates a transparent persona, an air of trust and respect, from the users of their financial statements. Importance of IT in Business

These days IT is crucial to the majority of businesses. Almost all companies use IT to some extent, making it important for employees to have proficient knowledge in the area. It is not longer just IT jobs where staff need a good knowledge of IT. Almost all office based jobs are now almost entirely based around computers and IT.

Having good IT skills gives you a major advantage over those who do not. Even if a role is not an IT job per se, IT knowledge may give you an advantage over other candidates and help you once you are employed. Employees are expected to know the basics of IT in most jobs and there is an assumption that you are able to perform basic computer related tasks. Email is often the main mode of communication, while employees are also expected to be able to write documents and use spreadsheets. In most cases the Internet is the main research method, so being confident using Google, for example, can be a must.

\"it Management\"

Most admin tasks in any business are now performed through the use of IT and for the large part the traditional numerous filing cabinets are gone. Accounting is usually done with spreadsheets, so accounting staff also need knowledge of IT. Even those working in shops and restaurant will use IT is certain ways, such as the tills. Anyone working in management in any job will need to be able to use computers to either a small or large extend, depending on the nature of their particular job.

With IT playing such an important role in business today, good IT training, either in education or once in employment, can make an important difference. IT is there to make life easier, but if you do not have the necessary confidence it can turn into a nightmare. Staff need to understand the processes they are using, and this requires sufficient training.

IT can be complex, especially in businesses that use it to a large degree, and as with all technologies there will be things that go wrong. Therefore support staff who can solve any issues are useful. Some companies will have a person, or even a whole team of people, whose sole job it is to run and maintain the IT systems and networks. IT is there to help, not hider, but if things are not managed properly it can cause a whole host of problems. The IT department and processes need to be managed for IT to have the best possible impact on a business. Things need to be in place so the business can make the most of the advantages IT offers.

Some will use some kind of IT methodology to keep their IT management on track. The most widely used methodology is ITIL, which stands for Information Technology Infrastructure Library. ITIL is a set of concept and policies for managing the IT within a business. Essentially it is the IT best practice.

The Importance of Time Management

Working for myself, from home, means I am responsible for the work I do. It also means I am the one that must create the necessary motivation to achieve all that I plan to achieve on a given day or week. I know how important it is to set goals and create routines, yet I have spent weeks now working on this article. I have really struggled with motivation and I have wasted hours and hours of time not doing what I know I should be doing. Funnily enough, just writing that makes me suddenly conscious that I am never going to get that time back and that if I'd used it well I could be working on something new. So with no more procrastination, let's all learn from the words I am about to write.

What is time management?

Management Concept

Time management is about managing your day affectively so you can achieve all that you want to achieve. It is also about making use of time today, so that you can obtain larger, long term goals whose deadline is sometime in the future. Being able to manage your time well will leave you with a feeling of mastery and accomplishment, knowing that you put your time to good use.

Having busy lives with enormous demands from so many sources means life often feels like a juggling act. People can become overwhelmed with the amount they have to do, making them tired, disgruntled and demotivated. Motivation is important as it can lead to an apathy which can prevent you from doing anything, even though you know there is so much to do.

As such, time management can be seen as making the best use of your time, so you can handle all your responsibilities, without giving in to the misery of procrastination.

Why is it so important?

We all know that time marches on. We can all say "make the best of each day", "live every day as though it's your last", but are such affirmations alone enough? I am aware that time is precious but it took writing the words hours and hours, that jolted me into a frenzy of activity that I was beginning to think had gone forever.

Being able to manage time is important for those people who desperately would like more time to do all the things they want to do. You know who you are -- "I wish there were more hours in a day" is one of your favourite sayings. Yet there are some people that seem to get so much done each day and still find time to relax and enjoy themselves. We all have the same amount of time. As such, good time management is about making the best of the time available to you. This also means using your time to help you attain both your short term and long term goals.

Stress is a huge problem in this society and being in control of your own time is a sure way of helping you manage the stress you face everyday. By knowing what you are doing and when, then having enough time to do each activity will go a long way to helping you towards a life of reduced stress.

Finally, I think it is important to mention the concept of flow. Flow refers to those moments where you are so focused on an activity that all other things are forgotten. If you are managing your time well, you should be engaging in regular flow-inducing activities. This means minimising time wasters that do nothing to enhance your wellbeing or give you that feel-good feeling that comes from engaging in something that absorbs all of your attention. So begin by switching off the television, stop checking your email every five minutes and browsing websites that you are not really that interested in.

The Importance of CRM Customer Relationship Management

CRM Customer Relationship Management is one of the newest innovations in customer service today. CRM stands for customer relationship management and helps the management and customer service staffs cope with customer concerns and issues. CRM involves gathering a lot of data about the customer. The data is then used to facilitate customer service transactions by making the information needed to resolve the issue or concern readily available to those dealing with the customers. This results in more satisfied customers, a more profitable business and more resources available to the support staff. Furthermore, CRM Customer Relationship Management systems are a great help to the management in deciding on the future course of the company.

As mentioned, there is much data needed for the CRM system to work. These fields include the customer name, address, date of transactions, pending and finished transactions, issues and complaints, status of order, shipping and fulfillment dates, account information, demographic data and many more. This information is important in providing the customer the answer that he or she needs to resolve the issue without having to wait for a long time and without going to several departments. With just a few mouse clicks, a customer support representative for example can track the location of the customer's package or order. This is infinitely better than the cumbersome process of tracking shipments previously. Furthermore, the customer service representative will also be able to see the previous concerns of the customer. This is a great help especially if the customer is calling about the same issue since he or she will not have to repeat the story all over again. This results in less time in resolving the issue, thus, higher productivity of the support staff.

Management Concept

CRM Customer Relationship Management systems are also important to the top management because it provides crucial data like customer satisfaction and efficiency of service by the frontline crews. A piece of customer relationship management software will also be able to generate the needed reports for product development or new concepts. Furthermore, this system will also be a great help for the top management in deciding the company's future course of action, whether it involves phasing out one of the products on the shelves or making adjustments to one of the products sold.

The reports generated by CRM systems are also invaluable to your advertising and marketing planners, as they will be able to pinpoint which ideas works and which do not. Because of CRM systems, you will be able to release advertisements or plan marketing campaigns more in tune with your target market. This will also lead to more responses to your advertisement and a more effective marketing campaign.

Successful integration of a CRM Customer Relationship Management system in your company, however, might not be as easy as it seems. The following might give you an insight why CRM systems fail in some companies... Most companies fail to prepare for CRM systems. By this, I mean that most companies fail to integrate all the departments that need to share the information for it to be effective. Furthermore, CRM units scattered all over the company's departments is often more effective than just making one big CRM department. This will ensure that each department will get the information and data that they need.

A CRM system will also help you a lot in expanding your business. As CRM systems are capable of handling enormous amounts of data, CRM systems will help you a lot in coping with the increased numbers of customers and data. With a CRM Customer Relationship Management system installed and properly utilized, you can be sure that all data is maximized and used to ensure that your business will be successful and your customers a lot more satisfied than before.

Time Management and the Importance of a Schedule

We are all familiar with the concept of "time", but when you add the word "management" behind it, things can get a little cloudy. Simply put, time management is the process of managing your time. People can make this more confusing and harder than it has to be when they try to get too technical and start creating "time maps" and flow charts.

When it comes down to it, it is a lot simpler than that. We all have twenty four hours each day. By practicing time management strategies, we are deciding how to use those hours to accomplish all the tasks we have on our to-do lists.

Management Concept

Having a schedule is a fundamental part of time management. You can imagine your schedule as a road-map. It provides important information about where you are going and how you can get there. Without it, you may take a wrong turn somewhere and find yourself lost. Once someone is lost, it may take some time before they get back on track, and they usually arrive to their destination a bit later than they would have liked.

When you have a schedule, you can look at it and see what you need to do each day. You'll know if you are on track, and if you aren't, what you need to do to get back on course.

How To Make a Schedule

One of the first things to do when making a schedule is to write down all the things you have to do on a piece of paper. Some people keep separate work and family schedules, and if you decide that would work best for you, you can divvy those tasks up later. For now, simply write out everything that needs to be done on a monthly, weekly, and daily basis.

Once you have everything written out and in front of you, it's time to start sorting between the common themes. You can do this by assigning a highlighter color to each theme (such as family, work, daily, monthly, weekly) or by taking out another piece of paper and writing those columns on it, and rewriting all the tasks into the appropriate column.

Now that you have all of your tasks sorted out, try to give a time estimate to each one. You may even want to time yourself for a week or two on these tasks, as you may be very surprised at how long some things take.

For instance, you may think it only takes 45 minutes to go to the grocery store, but in reality it could take an hour and 15 minutes. You may think it only takes 15 minutes to run up to the school and pick up the kids, but may find it actually takes 25 minutes.

In many cases, people underestimate the time it takes to do things, and this is one of the reasons they think they aren't getting enough done. By timing yourself, you will get a visual picture of your time. When you see how long it really takes to accomplish your regular tasks, you will be able to see how many things you can fit into a normal day. You won't constantly be trying to push yourself to do more.

Once you have written down your tasks and estimated the time it takes to accomplish them, you can start planning your schedule. Some people like to have a daily schedule that is very organized with certain tasks assigned to certain times and others prefer to keep a weekly schedule that is more flexible.
